Business guide – Registration

1 General

You can easily manage employee benefits by using Eazybreak. Register your company to Eazybreak with following information:

  • Enter the company information and contact details.
  • Define the employee benefits to use.
  • Insert the employees using the benefits.
  • Add invoicing details and pay the prepayment

2 How to start the registration

If you have already the Eazybreak business admin credentials, login to your account. Start the registration on Business tools (Today page) using the option Register a new company.

Otherwise, start the registration on our Eazybreak website.

3 Business registration

Enter the official business name and business ID. Enter you contact details as a business administrator and give a password to your account.

Please approve the Eazybreak terms of use and price list, confirm with the Register button and the Eazybreak business account will be created.

4 Mode of operation and the benefits

Select the mode of operation i.e. how you want to start to use Eazybreak*:

Regular use I want to start a regular Eazybreak use: Define the benefits, beneficiaries and payment details. Pay the prepayment (not needed for agreement lunch). Eazybreak will distribute benefits automatically according your preferences.
Trial I want to test Eazybreak and start the trial: Define the benefits and beneficiaries. The employees will receive the benefits for the trial after the prepayment has been paid.
After your trial, you may easily change the operation mode and start the regular use.

Choose benefits*:

Can be used in all the restaurants accepting Eazybreak vouchers and with whom your company has a valid Eazybreak agreement on lunch price and post-invoicing of the used vouchers. The lunch agreements can be easily done in your Eazybreak account after you have finalized the registration. Agreement lunch vouchers cannot be chosen for the trial.
Eazybreak Sports Can be used in all the sport locations accepting Eazybreak vouchers. Please choose either Sports or Sports and Culture.
Eazybreak Sports and Culture Can be used in all the sport and culture locations accepting Eazybreak vouchers. Please choose either Sports or Sports and Culture.
Eazybreak Commuting Can be used in all the merchant locations accepting Eazybreak Commuting vouchers.
Eazybreak Combo Can be used in all the merchant locations accepting Eazybreak Sports, Culture or Commuting vouchers.
Eazybreak Wellbeing Can be used in all the locations (e.g. massage) accepting Eazybreak vouchers and with whom your company has a valid Eazybreak agreement. The agreements can be easily done in your Eazybreak account after you have finalized the registration.

5 Defining the benefits

Please confirm the detailed benefit settings per benefit.

The benefits are distributed automatically to the employee accounts according your benefit settings.  Employee must accept the terms of use before the benefits can be distributed. If the benefit includes employee share, you need to deduct it from the salary according the Eazybreak reports.

Default values in benefit settings are set according the tax guidelines (www.vero.fi). You can modify the settings on your Eazybreak account later.

5.1 Regular use

Eazybreak Lunch Benefit value/day: Define the maximum value.
Employee share: The default value
Distribution: The value (Eur) of benefits distributed is the remaining working days of the month. Afterwards the benefits (according the number of working days of a month) are distributed on the 1st day of each month.
Eazybreak Agreement Lunch Benefit value / day: The default value. The actual maximum value will be later defined in the lunch agreements.
Employee share:
The default value.
Distribution:
The number of benefits distributed is the remaining working days of the month. Afterwards the benefits (according the number of working days of a month) are distributed on the 1st day of each month.
Eazybreak Sports,
Eazybreak Sports and Culture, Eazybreak Commuting, 
Eazybreak Combo, Eazybreak Wellbeing
Annual value:  Default maximum euro value per employee. Change if needed.
Employee share: Choose 0% or 50%.
Distribution: Once a year.

5.2 Trial

The employees added within the registration will have their benefits for trial use automatically. Note that employees (users) added to business account later, are not included in the automatic benefit delivery and prepayment calculations. Distribute the benefits to these accounts manually (Business tools>Employees>Add benefits) and add more balance (Business tools> Eazybalance) if additional prepayment is needed.

After the trial, you may easily change the benefit settings and Eazybalance settings to automatic mode. Further information can be seen in the user manuals in your business account.

Add benefits:  Confirm the benefit value (Eur)  per employee (needed for prepayment calculations).
Employee share: 0% or 50%.

6 Adding the employees

You may add the beneficiaries. Each employee need a personal Eazybreak account to be able to use the benefits. Enter the required fields (first name, last name, e-mail). You may add later additional information (i.e. employee id, cost centre etc.) after you have finalized the registration. The mobile number can be added by the employee when activating the account.

Create the employee accounts with Add employees and the e-mails with Eazybreak credentials will be delivered to the employees.  The e-mails are sent only after your prepayment (Eazybalance) is available in the business account. If you use agreement lunch benefit, the e-mails are sent immediately.

You can also skip this step and add the employees later (i.e. if you will import the employees by using CSV-import functionality or your company will use Eazybreak HR-integration (optional)).

7 Prepayment and invoicing details

The prepayment is needed for benefit usage. Eazybreak estimates the amount of the prepayment per benefit type. The estimation is based on the benefit settings, number of the employees and benefit distribution model.  Monthly service fees are automatically deducted from the Eazybalance.

Agreement lunch requires no prepayment, so please enter the invoicing details for post-invoicing. The agreements can be done later in your Eazybreak account between your company and the merchants you choose. The agreement covers the lunch price and post-invoicing. Wellbeing agreement covers the usage of the benefit in the locations you select. Eazybreak will invoice (on the behalf of the merchant) the used agreement lunches from your company. The monthly service fees will be added to the last invoice of the preceding month.

Automatic Invoicing Eazybreak calculates the amount for the prepayment, which covers 44 days of estimated benefit use (30 days payment term for invoice and a 14-day balance buffer).
Trial use Invoicing Eazybreak calculates the amount for the prepayment, which covers the benefits delivered for trial use. Payment term for the invoice is 30 days.

Choose the payment method and save the settings:

Web payment If prepayment is needed for immediate benefit use, please make the first payment through web payment (net bank or credit card). You may add the invoicing details later, so Eazybreak can invoice your company automatically when the Eazybalance needs a top up. Note that the automatic invoicing cannot be used in trial.
Invoicing Enter invoicing details of your company. Paper invoice will be delivered, if e-invoicing details are not informed. An additional service fee will be added for each paper invoice. An additional reference may be added to the invoice and you may choose the invoice language (Finnish, English) Payment term for Eazybalance invoice is 30 days. We recommend paying the invoice as soon as possible. The Eazybreak benefits can be used only when the prepayment is available in your Eazybreak account. The first Eazybalance invoice will cover prepayments for each benefit chosen. Afterwards Eazybreak will send automatically a new prepayment invoice when the Eazybreak balance needs top up.
